What is an external user?
External users are people outside your own organization – often auditors – who need limited access to one or more companies in Accountflow.
You manage their access through:
User groups – determine what the user can do.
Company groups – determine which companies the user can access.
💡 You only need to choose one of the group types, but you can use both if needed.
Step by step: Add an external user
1. Go to user administration
Go to User under Settings & Admin in the menu on the left.
Select the External users tab.
Click the Create external access button.
2. Create external access
Enter the email address of the person you want to grant access to.
Click Next.
💡 If the user already exists, name and role are filled in automatically. If it is a new user, you must enter the details manually.
3 A. Grant access to an existing user
Select one or more user groups.
Optionally, select one or more company groups.
Click Create external access.
📩 The user will receive an email confirming extended access but will not get a new invitation.
3 B. Register a new user and grant access
Fill in Name (required) and Phone number (optional).
Select a role (for example Auditor).
Select at least one user group or company group.
Click Create external access.
📩 The new user will receive an email with a link to set a password and activate their account.
View details for an external user
Find the user in the list of external users.
Click the eye icon in the Actions column.
An overview window will open, showing:
Which company groups the user has access to.
Which companies are included in those groups.
Remove external access
Delete one access
Click the trash can icon on the desired row.
You will see a message confirming the user was removed from the group.
Delete multiple at once
Select one or more rows.
Click Remove from user groups or Remove from company groups at the top of the table.
You will see a message confirming the users were removed from the selected groups.
💡 External users are not notified when access is removed, but they immediately lose access and can no longer log in to Accountflow.
