Error message when creating user: “User name is taken”

This guide explains why you may get the error message “User name is taken” when trying to create a new user – and how to resolve it.

What causes the error message?

The error message means that the user you are trying to create already exists in Accountflow – even if you may not see the profile in the user list.

This can be due to two reasons:

  • The user exists in the list but is deactivated.

  • The user is already created in another organization and is therefore not visible to you.


Step by step: How to solve the problem

1. Search for the user in the user list

  • Go to User under Settings & Admin in the menu on the left.

  • Reset any filters in the list so that deactivated users are also shown.

  • Search for the user’s email address or name.

2. Activate the profile if it is deactivated

  • If the user is listed as deactivated, click the person icon in the Actions column.

  • The user will then become active again and can log in.

3. If the user is not in the list

  • It means the user was created in another organization in Accountflow.

  • The user profile is then only visible to users who have access to that organization.

4. Solution: Grant access via group

  • You can give the user access to your organization by adding the profile to a company group or user group.

  • This is handled by our support team.
